The Media Equipment office coordinates upto 80 requests for audio and visual equipment each day. Due to such a high volume of services, we require certain guidelines to be met:

 

1. All requests for the delivery and pick-up of equipment by our office require two full working days advance notice. For example, if a class needs equipment for a Thursday at 10:00 A.M., the order needs to be made before the previous Tuesday at 10:00 A.M. This notice is needed to ensure that the equipment is available. It also allows our office the time to secure the delivery with a student operator. There are NO exceptions to this policy.

2, We allow some of our equipment to be picked-up from our office (slide, overhead, and 16mm projectors; tape recorders; portable public address systems; screens; electric pointers). There is no advance notice needed for these orders, but we cannot guarantee that equipment will always be available.

3, All courses that are listed in the UCSB Schedule of Classes may use our services free of charge if the equipment is being used during the scheduled class time. Some exceptions are made for events occurring outside of class time but these arrangements need to be authorized by a Media Equipment Supervisor.

4. A Budget Number (which can be obtained from the corresponding department) is necessary for all orders that are not for scheduled courses. We cannot process work orders without this account number. If equipment is ordered by clients that are coming from off-campus, a billing address is sufficient. We will also accept BARC Numbers with a billing address which allows students to check out equipment as well.

5. All campus clubs and organizations need to call the Campus Activities Center (CAC) to obtain equipment from us. The CAC will then send the order to our office.

6. If a student needs use of our equipment that is for a scheduled class, the student needs to obtain signed permission from the professor or TA for the class.

7. Once equipment is delivered, it becomes the responsibility of whoever ordered it. Someone needs to remain with the equipment until it is picked-up by one of our operators at the scheduled time. Equipment is not to be moved from the room it was delivered to by anyone other than our staff.

Where we deliver to:

• Most rooms on the UCSB campus. Some exceptions include TV/VCR carts to Noble Hall's second floor due to the small size of the elevator and other buildings without elevators.

• Cliff House (We do not deliver TV/VCR carts or other large and fragile equipment here as the road to this location is in need of repairs.).

• We make some exceptions for off-campus events but these orders need to be discussed with a Media Equipment supervisor.

• Any questions as to where we can deliver may be directed to our office at Media Equipment.
